Today’s competitive and fast-moving commercial markets necessitate a skillset among an organization’s employees that can best be described as holistic. Employees need to be all-rounders in this day and age, and they also need to be increasingly flexible, in a world in which technology moves so fast that even the tech-savvy can struggle to keep up with it.

By the same token, the learning and development systems that you have in place must also possess these qualities. Modern training systems must be many things to many different people. They have to deliver flexible training packages that can meet the often vastly differing requirements that are spread across an entire organization.

Thus, managing your training environment has become fundamentally more complicated over even the last ten years. Thankfully, as much as the technological revolution has made life more complex in this area, the same revolution has come to the rescue in terms of training packages.

Learning Management Systems have made organizing, running and managing training considerably more efficient and easier. Learning Management Systems are now the keystones and foundations of many large organizations training initiatives, and as Learning Management Systems continue to improve in scope and flexibility, more and more organizations are turning to them.

Various terms are applicable to Learning Management Systems, such as LMS and LCMS, LCMS standing for Learning Content Management System. Both provide similar services to employees, but LCMS systems usually feature a content development engine which enables members of staff to develop their own e-learning content within the LCMS system.

There are many advantages to an LMS system, but the most obvious and, arguably, most valuable is the ability to slant content towards the audience that it is aimed at. This is far, far easier with LMS systems, which are hugely more flexible than conventional training, in which trainers typically deliver pre-ordained material in a rather concrete manner.

By contrast, LMS enables you to create content quickly and easily, and theoretically you could create as many training courses as you have employees. For example, the eLeaP system enables organizations to make up their own courses from their own files and training materials. This means that your organization doesn’t have to worry about searching for a training course that meets your needs; simply make one yourself!

In this sense, LMS is an amazingly broad-based tool, not merely a cheaper way of delivering training courses. It delivers interactive content on a scale that needs to be experienced before one can truly understand its potential. Such are the advantages of an LMS system over classroom-based training that it’s hard to believe in this day and age that any organization, whether commercial or non-profit, couldn’t benefit from running their training through LMS systems.

Web-based training is any method or process that enables anyone to create, deliver and track training using an online system. As our web technologies have evolved and improved, many users are accessing the web using smart phones and mobile devices such as Apple’s iPhone, iPad and Google’s Android devices as well as tablet computers.

Web-based training should be adapted to be consumed on these smart phones and mobile devices. The fact of the matter is weather we like it out not, consumers are increasingly accessing resources and websites on non desktop or even laptop machines.

Here are some tips on how to make your content user friendly across different platforms and devices.

Starting with the obvious. Make sure your content is not being hard to read on any platform. Apple does not allow Adobe Flash content, some Andriod devices might not necessarily support all content created on the Apple environment. However content that is reach in text and less on graphics presently using smart HTML code instead of media rich applications is probably a safe bet – even though it might appear boring.

Make sure that your content does not rely too much on large file sizes. Remember many tablet computers and smart devices are running on wireless networks on mobile phone networks which are not always the fastest. Making your content too media heavy could slow down the content and make accessibility a problem.

Test your content across different platforms before you actually roll it out. Don’t hope for the best. Prepare and test your content. This could be as simple as emailing your content to friends or colleagues who you know on different networks or systems and let them tell you how they are accessing the email or content.

Lastly if you have to use a web-based training system, make sure to check out a platform that is optimized for cross browser access. This means people can access it across multiple browsers or platforms like Firefox, Chrome, Safari, Internet Explorer. Check out a tool like eLeaP web-based training software platform.

Web-Based Training – What is it?

Training and e-learning using the web – called web based training has been slowly picking up steam over the last couple of years. Essentially web based training means using browser-based software applications such as eLeaP™ Web-Based Training System to quickly create and manage training and e-learning.

Web based training started with some of the largest companies who trained via computers – usually deploying CD ROM, video or even print materials.

As the Internet or World Wide Web has matured as a business tool, we have seen an explosion of software tools streamlined for deployment over the Internet. Some of these tools have included training and e-learning platforms such as the popular eLeaP platform.

Benefits of Web Based Training – What’s In It for Me?

To understand the benefits of Web based training, it is important to understand the evolution of web based software applications in general. You see software development and deployment has traditionally been a memory intensive, bulky and sometimes buggy process. Think – Photoshop. You need a very powerful computer to run Photoshop, even if you are just cropping a picture more correcting color saturation in your image. Most humans have never used the advanced features of Photoshop. You see developers liked to develop software that contained a little bit of everything or did everything and only ended up a highly unwieldy application. Think Microsoft Vista (earlier version). Well what happened is some web developers out of necessity started looking for “striped-down” versions of popular applications. And if they could deploy these over the web so one was not tied down to a single machine – the better. Think Writely that became GoogleDocs. Humans are “migratory” by nature. You use one machine at work, maybe another at home, perhaps a different one when you visit your in-laws and of course when you are wasting your employers hard earned dollars sitting at the hotel lobby. Bottom-line. We want to have access to “our stuff” regardless of where we are or what machine or computer we are using. Hence the birth and success of online or web based software including Web based training software like eLeaP.

So what are the benefits?

Web-based training software can be cheap – or inexpensive compared to traditional forms of training programs. You normally purchase the capacity you need, and most times you have no set up fees, maintenance contracts, or upgrade fees. What’s not to like.

Web based training software is always on. Think about it. Web based training means you have training and e-learning on tap. You simply log in and take your training. For employees this can be a tremendous benefit giving our hectic work life. For employers this is totally awesome. Employees taking training on their own time (weekends) and you don’t have to pay for it.

Web based training software is consistent and always updated training. When was the last time you got the updated version of the training on the CD ROM from that company? Yes. Web based training is easy to maintain and update and folks can have the latest training materials just by logging in.

Web based training software means Interactivity. This is becoming a big deal as people have come to expect new age styles of training. Using video clips in your training. Using forums and discussion boards in your training and e-learning. Leveraging external web based resources to enhance your training all lead to better knowledge retention and Lord forbid, better skilled employees.

Web based training software ensures Security: While many people don’t usually think about it, online systems can be the most secure. I know, I know. eLeaP is a web based platform that uses 256Bit encryption. For the non geeks, that is more secure than some financial institutions. Ok maybe not more secure but on par… But the point is that web based systems have easy access rules and security applications that ensure that content is secure and that only the right persons see the right materials.

Web based training software has Reliability: Ahh, so the computer you had your Photoshop program or PowerPoint training crashed. What to do? Log in to your online account and continue your e-learning and training.

How to get Started.

Web Based Training Software Platform (LMS) Uptime record: Uptime refers to reliability of your LMS vendor’s web servers. Do they experience interruptions in services? If you try to access your training and your browser keeps timing out or the web server is unavailable, then you might need to switch. You need to ask your prospective vendor about their uptime record. You can also access public sites like Netcraft to do independent research on uptime.

Scalability: Can your LMS provider grow with your organization? You started at 25 employees but your business has expanded to over 4000, can your learning management system absorb your growing user base? How much more would it cost? How reliable is the capacity of the system to absorb the increasing levels of usage?

E-Learning Standards Compliance: Perhaps you have heard about SCORM? What about AICC? Is your learning management system compliant with these government mandated e-learning standards? Is your LMS SCORM or AICC compliant? How about your authoring program?

Data Exchange: Does your LMS provider allow you to download data/reports from your account? Can the learning management system easily interface with your HR information system? How easy is it to upload your content and user list? Can user self-enroll for courses/training in your LMS?

E-Commerce Capability: For some content providers, e-Commerce (selling courses or trainings) is an absolute must. Does your LMS provider have e-Commerce capability? Is it easy to integrate into your existing website?

Web Based Training Software Platform (LMS) Security: With phishing and data security being increasingly threatened on the Internet, your LMS should make security a cornerstone of their service. Does your LMS come with SSL encryption? How about password integrity? How is this maintained? Can you instantly activate and deactivate user accounts easily?

Financial Solvency: Is your LMS provider some kid with a computer in the basement? How many years has your LMS solutions provider been in business? Ask for and follow up on all business references.

Web Based Training Software Platform (LMS) Support and Customer Service: Once you have purchased the learning management system does your LMS vendor disappear? How is their customer service like? Do they provide online or live customer support? How about a knowledge center to help you get answers to technical questions?

Web Based Training Software Platform (LMS) Cost: What is the total cost of ownership? Are there hidden charges or fees? What about set up fees? Is maintenance free? How about customer support? Do you have to pay for technical assistance? Make sure you get in writing all costs associated with your LMS purchase.

Web Based Training Software Platform (LMS) Software Updates: Is your training software vendor a one trick pony? Do they have plans to improve or upgrade the LMS platform? What will it cost you to get upgrades? This is where the Software as a Service (SaaS) business model makes sense. Is your Learning management System vendor a SaaS LMS provider?

My Recommendation:

Do you want a real time saver? Consider web based training.

Do you want a real time saver? Consider web based training. Why? because you can literally setup your training, launch your courses and let a training software system take over and manage your e-learning program.

As you plan for the year, consider web based training as part of your employee training and e-learning programs. I believe with the drop in the cost of learning management systems and the increase in the efficiency and reliability of web based training, you can make a powerful case for why now is the time to try web-based training.

For information on how to select the best web-based training system, see this learning management systems article.

Training your employees in compliance training or industrial training
has never been the most exciting thing companies have had to do.
According to BLS over 4.2 million nonfatal injuries occurred in 2005.
Can you imagine the law suits and payments companies have to make?

Can you really afford not to do something about this situation? We call this affirmative defense strategy.
It means if you ever find yourself involved in a law suit (and
supervisors, don’t think you can’t be sued. Often times employees can
sue you personally so you better insist on the training you
need to establish your affirmative defense) you want to be able to
prove that at the very least, you provided adequate training to your
employees and the actions that resulted in the law suit came because of
willful self negligence and certainly not endorsed by the company.

So
back to my point. You need all the training you can give and get to
help your employees improve the skills and talents and thereby improve
your organization’s competitive standing and of course it will not hurt
your case if you ever get in a legal situation.

The
issue with web-based training has been the complexity of the systems
that exist to enable do employee training. Such systems are called learning management systems or talent or performance management systems.
Don’t get caught up in the “gee whiz”, “bells and whistles” game.
Evaluate a learning management system based on your needs and goals. A
learning management system should allow you to do your own training
easily, securely and cheaply. Get an LMS which is robust, scalable (to
grow with you) and easy to manage. Lastly look for an LMS is which SCORM compliant
or conformant. SCORM is an e-learning standard which enables
interoperability among LMS’s – courses and tracking information can be
standardized across many learning management systems.

Is your organization dabbling in any elearning or web-based projects? What has your experience been with the technology? Do you outsource your elearning efforts or develop everything in-house? Maybe a hybrid of the two methods?

eLeaP is a powerful yet simple to use elearning management system and e-learning content management system. My issue is not to let the technology get in the way of content creation, user management, and rich elearning system features.

Share your elearning and web-based training experiences at the e-Learning Website.
